BUYER REQUIREMENTS
What we need to scope, accept and deliver your assignment.
Provide the minimum information necessary at each stage. Confidential matter files should not be sent through the public form or ordinary email.
Stage 1: Non-confidential enquiry
Provide your organisation's legal/trading name, business contact and role, the category of service, your operational problem in general terms, approximate record/site volume, proposed timing, relevant stakeholder types and budget band. Please do not include names of tenants, private individuals, sensitive sites, legal advice, title plans, loan documents or privileged materials.
Stage 2: Qualification and proposal
Identify who can instruct and approve fees; the responsible client's solicitor, finance/land/technical reviewer where relevant; actual decision required; expected output/format; exclusions; source types and volumes; timing and acceptance criteria. Identify potential conflicts and restricted information. Confirm whether the project requires personal-data processing, privileged documents, critical infrastructure information, or formal supplier assurance.
Stage 3: Written acceptance and bank transfer
Confirm the correct legal contracting entity and authorised signatory. Agree the signed or expressly accepted SOW, applicable MSA/DPA, scope cap and change control. Receive an accurately addressed invoice and pay via bank transfer to the privately verified named supplier. Do not use the public enquiry form for payments.
Stage 4: Source transfer and delivery
For document-bearing work, grant access only through an approved, tested, least-privilege environment. Provide a complete source set, a reliable index/field dictionary, relevant permissions, named reviewers and an agreed communication channel. Source links, exceptions, version changes and unresolved professional decisions will be recorded.
Stage 5: Acceptance and offboarding
Designate a recipient authorised to accept administrative outputs, raise transcription corrections in the agreed period, confirm retention/deletion instructions and handle outstanding payments. Legal/technical approval remains separate from delivery acknowledgement.
What will not be accepted via public intake?
Open-ended instructions; consumer conveyancing representation; work needing unauthorised legal or insurance determinations; transaction documents without a secure route; passwords or ID documents; personal client/tenant files; medical or financial records; classified or critical infrastructure details without an accepted risk plan.
